How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

We work with third parties on some campaigns and they may pass sign-up data to us. However, the purposes will be made clear on the sign-up form.

Newsletters and mailing preferences

If a user decides to opt-in to our mailing list, they will receive emails that may include company news, updates, related product or service information, etc. If at any time you would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions at the bottom of each email or you may contact us via media@mhiuk.org. We may use third party service providers to help operate our campaigns or administer activities on our behalf, such as sending out newsletters or surveys. We may share your information with these third parties for those limited purposes, provided that you have given us your permission.

In-person fundraising challenges

Shout is partnered with two organisations that run in-person fundraising challenges: Choose a Challenge and Run for Charity. By booking to take part in an event on behalf of Shout, you agree to the following policies, as relevant:

Run for Charity: Privacy policy.

When you opt in to marketing communications from Shout as part of your participation in a Choose a Challenge or Run for Charity event, you agree to Shout’s Newsletters and mailing preferences, as above.

Facebook fundraising challenges

When you sign up to join a Facebook fundraising challenge in aid of Shout from one of our Facebook advertisements, we ask for your full name and email address. This information is stored in Facebook. The data is then used in further Facebook advertisements that you will receive for 2 days, encouraging you to join the Facebook group. 

When you join the Facebook group, you are asked to fill in a form to register for your free t-shirt. In this form we ask for your full name, email address, postal address and your t-shirt size. This information is stored in GivePanel. We state that by supplying this information and clicking Submit, you are consenting to us using this information in order to process your fundraising and post your t-shirt. In order to fulfil this, we need to pass on this information to our t-shirt suppliers, Bluestep Solutions. We also ask if you would like to hear about our work and your fundraising via email. If you click ‘yes’, then we will use your email address to contact you, but we will not contact you in this way if you click ‘no’.

Basis for processing

Under the UK General Data Protection Regulation (GDPR), the lawful basis we rely on depends on the information we are collecting and the specific context: 

  1. Your consent. You are able to remove your consent at any time. You can do this by contacting dataprotection@mhiuk.org
  2. Legitimate interests; for example where applying for a free t-shirt, we need your name and address to send this out to you.

How we store your personal information 

We may need to share your data with 3rd party suppliers during some of our marketing campaigns. This will be in accordance with our supplier policy and UK GDPR.

If you completed a Facebook form as part of our Facebook advertising campaign promoting our fundraising challenge, then your information (name and email address) will be safely stored in Facebook. Read Facebook’s Privacy Policy here. We will keep your information as long as we have a legitimate business need for doing so and according to our retention policy. After this time it will be securely destroyed.

If you completed a form to register for your free t-shirt as part of our fundraising campaign, then your information (name, email address, postal address and t-shirt size) will be safely stored in GivePanel. Read GivePanel’s Privacy Policy here. We will keep your information as long as we have a legitimate business need for doing so and according to our retention policy. After this time it will be securely destroyed.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
